Comparison
The Zoho Forms alternative for forms that go more than one place
Zoho Forms is priced by users and submissions together, and its biggest advantage is depth inside the wider Zoho ecosystem. WebForms is not tied to any suite and prices by submissions alone.
Zoho Forms is part of Zoho's much larger business software suite, and its real strength shows there: native CRM-form integration, approval workflows, and the same account working across dozens of other Zoho products if you already use them. Every paid plan includes unlimited forms and webhook/integration access from the Basic tier up, which is more generous than several builders in this comparison.
Pricing is per-user as well as per-submission - Standard includes 10 users and 25,000 submissions a month for 25 EUR, and adding users beyond a plan's included count is not a simple line-item the way it is on some competitors. There is no conditional routing to different destinations based on field values, and no per-destination delivery log; UTM tracking and email/record audit trails are the closest built-in visibility tools.
WebForms is not part of a larger suite and does not try to be one. It takes a submission and stores it, fans it out to five destination types at once, routes it conditionally, and logs every delivery attempt, priced only by monthly submission volume regardless of how many people are on your team.
When to stay with Zoho Forms
Switching has a real cost. These are the cases where we would not bother.
- You already use Zoho CRM, Zoho Campaigns or other Zoho products - the native integration between Forms and the rest of the suite is a real advantage we cannot match.
- You want built-in approval workflows for multi-step form review, available from the Standard plan.
- You need HIPAA compliance and record-level audit trails, available on the Premium tier.

Moving from Zoho Forms
Decide what you actually need
If you rely on Zoho Forms' integration with Zoho CRM or the wider suite, that is a real reason to keep it. If your form is standalone, WebForms is a lighter option.
Export your submissions
Download your submission history from Zoho Forms before changing anything.
Point your form at your endpoint
Rebuild as plain HTML and set the action attribute, or use Zoho's webhook feature to forward submissions to a WebForms endpoint.
Add destinations and routing
Configure email, Slack, Discord, Telegram or a webhook, and add routing rules if different answers should go to different places.
Try it without deciding anything
The free plan includes 300 submissions a month, unlimited forms, email delivery, stored submissions and spam filtering, with no card required and no expiry. Point one form at it and keep Zoho Forms running on the others until you are convinced.
Questions
Not if you depend on the Zoho suite integration - that is a real, deep advantage specific to already using Zoho products. WebForms is a fit for a standalone form that does not need CRM-level integration.
It is priced as part of a business suite where team size matters across many products, not just forms. WebForms only meters submission volume, regardless of team size.
Yes. Use Zoho's webhook feature to forward submissions to a WebForms endpoint for extra destinations like Discord or Telegram and a delivery log.
Not natively. Reach it via a webhook and your own or a third-party integration, the same way you would reach any CRM we do not build a direct connector for.
