Cognito Forms leans into workflow: client portals, multi-step approvals and data lookups (pulling values from an external source into a form) are native features on its Team plan and above, which puts it closer to a lightweight internal-tools platform than a plain contact-form service. Every plan does include unlimited forms and payments, which is generous relative to some competitors in this batch.

The tradeoff is a per-user, per-entry pricing structure: Pro includes 2 users and 2,000 entries a month, Team includes 5 users and 5 guests, and moving up mainly buys more of both together rather than either independently. There is no conditional routing to different destinations based on field values, and no per-attempt delivery log.

WebForms does not do workflow or approvals - that is a genuinely different feature set we do not build. What it does is take a submission and store it, fan it out to five destination types at once, route it conditionally, and log every delivery attempt, priced by monthly submission volume with unlimited forms at every tier.

Moving from Cognito Forms

  1. Decide what you actually need

    If you rely on Cognito's workflow, approvals or client portal, that is a real feature gap - keep it and use its integrations to feed WebForms for extra destinations. If it is a simple form, rebuild it as plain HTML.

  2. Export your entries

    Download your entry history from Cognito Forms before changing anything.

  3. Point your form at your endpoint

    Rebuild as plain HTML and set the action attribute, or use Cognito's integrations to forward submissions to a WebForms endpoint.

  4. Add destinations and routing

    Configure email, Slack, Discord, Telegram or a webhook, and add routing rules if different answers should go to different places.
